The Community Events Specialist helps develop and coordinate logistics for multiple annual events including the Health & Wellness Expo, the Veterans Day Ceremony, and the Fall Fundraiser. By raising awareness of SourcePoint and our crucial County-wide services, you will play an important part in empowering the 55 and better community. 

Summary

Working under the direct supervision of the chief advancement officer, the Community Events Specialist is responsible for the planning and execution of multiple community and fundraising events for the organization each year.

  • Reports to: Chief Advancement Officer (CFO)
  • FLSA: Part-Time, Non-Exempt
  • Pay: $18-$21/hour
  • Hours: 20 hours/week, Monday-Wednesday or Monday-Friday, with flexibility around events.
Essential Job Functions

Event Planning (90%)

  • Oversee annual events from conception to conclusion, taking direction and oversight on each event’s vision, expenses, and revenues from the leader of the department.
  • Help develop, maintain, and ensure adherence to event budgets.
  • Coordinate event logistics, such as room use, layout, and equipment availability and rental.
  • Solicit and evaluate quotes from vendors and make recommendations on selections.
  • Help select, negotiate, and supervise third-party contractors.
  • Coordinate and communicate with team members across the agency to ensure all applicable departments are involved, including facilities, customer service, accounting, etc.
  • Develop event agendas and utilize problem-solving skills to ensure smooth execution of events.
  • Inventory and manage special event supplies.
  • Recruit, train, and supervise event volunteers.
  • Coordinate logistics of ticket sales and/or reservations.
  • Coordinate fulfillment of paid sponsorship benefits with the advancement team.

General Administrative Tasks (10%)

  • Organize and update files, such as vendors and other contacts, pre-and post-event notes, etc.
  • Actively participate and staff committees as appropriate.
  • Other duties as assigned.
Required Skills & Abilities:
  • Excellent communication skills, both verbal and written.
  • Strong organizational skills with excellent attention to detail.
  • Strong interpersonal skills.
  • Ability to handle multiple projects at once and prioritize tasks.
  • Problem-solving skills and grace under pressure.
Education & Experience:
  • 2-3 years of experience with special event planning.
Essential Physical Requirements & Working Conditions
  • Able to accommodate a flexible schedule for special events, including occasional evenings and weekends.
  • Must be able to move about in various environments, including outdoors, for several hours a day as necessary.
  • Must be able to lift to 15 pounds at times.
  • Prolonged periods of sitting at a desk and working on a computer or phone. 
Other Considerations

In any organization, particularly a small organization, it is necessary to assume new responsibilities necessary to ensure a smooth continuity of operations within the organization. It is expected that other organizational needs will emerge, which will be assigned to the community events specialist.
